What the video covers

For businesses with their own agreements as PDFs.

This is Fern Hollow Outfitters' equipment rental agreement: two pages, with lines for the rental, for the renter, an initials box beside the terms that matter, and the signature. Their lawyer wrote it as a PDF, so this video signs it exactly as it is. It starts in Templates: New template, and Upload a document.

Choose the file, give it a name, and say what kind of document it is: this is a contract. Then press Upload. Each page is drawn so the boxes can go on it, and the file itself is kept exactly as it came. The steps across the top show what is left: the questions, the boxes on the page, who signs, and a last check.

Every PDF starts with two questions, the signature and the date. Everything else is added here: one card a question, or, for a long list, as text under Advanced, one line a box: a key, the label the signer sees, and the kind of answer. The rental's own details end in staff: the equipment, the pickup date and time, the return date and time, the rate and the deposit. You fill those in when you send it, and the renter sees them but cannot change them.

The renter's own boxes have no flag: their full name, mobile number, email and license number. Then an initials box for each term they should see, and a printed name. Each one becomes a card above. Next.

Pick the signature, drag a box over the renter's signature line on the second page, and place it. The signature box is filled with their signature when they sign. Then the date beside it. The date box is filled with the day they sign: nobody types it, and nobody can change it.

Then the rental's boxes: the equipment, the pickup date and time, the return date and time, the rate and the deposit. Pick each one, drag a box over the line where its answer goes, and place it. Each one says it is filled in by you when you send it.

Then the renter's own: their name, mobile number, email and license number. The name box is filled in with the name you send it to, and they can correct it.

An initials box beside each term the renter should not miss: pickup and return, late return, and the condition of the equipment, and on the second page, damage and loss. Then the printed name under the signature.

Under the pages, the list says where every box is and who fills it in. When it is all there, Next.

Choose who signs: the renter, one person. Read it once more, and save it as a template. It is ready every time somebody rents.

Send it, and the rental's boxes are asked for first, under Filled in by you. A touring kayak with its paddle, buoyancy aid and roof rack. Picked up Monday the fifth of October at nine in the morning, and returned a week later, Monday the twelfth, at nine. Two hundred and eighty dollars for the week, and a three hundred dollar deposit.

Then the renter: Taylor Brooks, at their email. Send it.

Taylor opens the link from their email and agrees to sign electronically. The agreement is their own two pages, with the rental already filled in: the equipment, the dates and times, the rate and the deposit, which they can read but not change.

Then their own boxes, on the page where they go: their name, already filled in, their mobile number, email and license number, and their initials beside each term. The button at the top of the screen takes them from one box to the next.

And they sign on the same page: their name in the signature box, then Sign under the last page. The date beside the signature is filled in with the day they signed.

Back in Documents, it is signed. The signed copy is your own PDF with every answer drawn where its box was: the rental you filled in, the renter's details and initials, the signature, and the date. A certificate follows the last page, and anyone holding the file can check it.
