Golf courses and private clubs

Cart agreements, outing waivers and member forms, signed before the first tee.

A shotgun start at nine with a hundred and forty players, most of whom are not members and none of whom you have met. Every one of them is about to drive a cart, and the starter has four minutes.

Where it goes wrong

Not a feature list. These are the three moments this exists for.

A hundred and forty people and four minutes

A shotgun start does not wait. Every player needs the cart agreement and the event waiver, they are arriving in a stream between eight and nine, and the bag drop is not a place where paperwork happens well.

Carts, which are how people actually get hurt

Not the golf. A cart on a wet slope, a passenger with a leg out, somebody twenty-one who is not, and a course that cannot show what the driver agreed to.

Members who signed something once, years ago

Membership documents that live in a drawer in the pro shop, an outing organiser who wants a copy, and a board that would like to know which members are on the current terms.

What happens instead

1

The organiser sends it to their own field

You give the outing organiser a link, they send it to their hundred and forty players, and it comes back to you as a list. The players sign the week before, which is the only week they are not in a golf cart.

2

A QR at the bag drop and the cart barn

The stream of arrivals signs on their own phones while the bags come off the car. The starter checks a name rather than collecting paper.

3

Juniors handled properly, once

A junior programme sends the guardian consent to a parent at registration and it covers the season, rather than a parent being asked for a signature at the range on a Tuesday.

Two documents, in your account the moment you name your trade

Setup asks what you do. Answer "golf courses and private clubs" and these are waiting as drafts, in your words, with the blanks marked and the points a lawyer settles flagged for one. Edit them, or paste what you already use.

We are a document engine and not a tee sheet

Tee times, member billing, point of sale and the handicap system stay where they are. What this does is make sure that the person about to take a cart has agreed to the cart terms, and that you can prove it. The API exists so a tee sheet can ask for that and read the answer back.

Questions

Can one waiver cover a whole season of junior golf?

Yes. The document carries the period it covers, so a parent signs once at registration and the pro shop checks a live answer rather than a memory.

How does an outing organiser send to their own players?

You give them a link or a QR for that event. Every signature lands in your account, tagged to that outing, and the organiser sees only whether their own field is complete.

What about a hole-in-one prize contest?

The participant waiver can carry the contest terms and the acknowledgment that a prize may be taxable, and a prize insurer usually has requirements of its own about witnesses. The starter marks that for an attorney rather than guessing.
