Rental agreements

Signed before the keys, the paddle or the cart changes hands.

The transaction takes ninety seconds. The paperwork takes six minutes, happens at a counter with a queue behind it, and is the only part that matters if the thing comes back broken.

What this document is

The agreement that sets who may use a thing, for how long, in what condition it left and what happens if it does not come back that way.

Also called: rental contract · hire agreement · equipment agreement · damage deposit form · handover form

Where it goes wrong

Not a feature list. These are the three moments this exists for.

Six minutes at the counter, every time

The same contract, a new name, a new unit number, and a queue. Multiply by four turnovers a day and the paperwork is a member of staff you are paying to hold a clipboard.

The condition nobody wrote down

The scratch was there before. Or it was not. Without a record made at handover, with both people looking at the same thing, that argument has one likely ending and it is not the one where you get paid.

The operator who is not the renter

Somebody else drives it, rides it or takes the helm, because the contract has one signature line and a real rental has three people in the party.

What happens instead

1

Sent with the booking, signed before arrival

The agreement goes out when the reservation is made, with the unit, the dates and the price already in it. The counter becomes a handover instead of an administrative event.

2

Condition recorded where it is agreed

Notes and photographs taken together at handover, attached to the signed agreement rather than living in a phone's camera roll.

3

Everybody who may use it, named and signed

Additional drivers, operators and helms are signers rather than names written down by the person who booked.

We do not take the deposit

Payments, holds and deposits stay with whatever processes your cards. The agreement records the amount held and what it is held against; the money itself never touches this. That is deliberate — we would rather not be in the path of your payments at all.

Who sends this one

The same document, sent by businesses that have nothing else in common.

Questions

Can the agreement carry the unit and the price?

Yes. Those are blanks filled from what you already know, through the API or on the send screen, so the renter signs their own boat and their own number rather than a generic form.

What about a seasonal or annual rental?

The agreement carries the term it covers, and a renewal is a fresh signature on a fresh document rather than an amendment to a scan.

Can we attach photographs from handover?

Yes, and they are part of the sealed record rather than a separate folder somebody has to find. An evidence bundle includes them.
