Remind, Void, Redact and Download a Signed Document

Every document you send lands in Documents, newest first, with how many have signed and who it is still waiting on. This video opens one and goes through what you can do with it: the downloads, a reminder, voiding it, and redacting it.

What the video covers

For everyone.

Every document you send lands in Documents, newest first, with how many have signed and who it is still waiting on. This video opens one and goes through what you can do with it: the downloads, a reminder, voiding it, and redacting it.

To find one, search by its title or by who it went to, or narrow the list to what is waiting, signed, declined, expired or voided. Search for Dana Reyes, and open her kayak waiver.

A finished document says so at the top, with who signed it, and the line under the title names the template version it was made from. The signed copy is the agreement itself, sealed. Proof of signing is the same file with every message and notification printed after it: the one to hand an insurer or a court.

Under For developers is the same evidence as one JSON file, for a system to read: the trail, the fingerprints, the consent wording and the certificate. Below it, each person who signed, how they were reached, and the exact words they agreed to before signing.

At the foot of a finished document is Redact, for a signer who asks you to delete what you hold about them, or when your retention period is up. The text, the names, the addresses and the signatures go. The fingerprint, the times, the trail and the certificate stay, and the certificate still verifies. It cannot be undone. Dana's waiver stays as it is.

Some documents carry pictures. A template can ask for a photograph, like the boat before it leaves the dock, and your settings can ask each signer for a photo of their ID. Each is listed under the person, with its fingerprint and a link to view it. A photograph is kept as long as the document is. An ID picture is marked not verified, because SignSealer does not check it. It is kept for thirty days, then its fingerprint stays on the certificate. Opening one is written on the trail.

For this part, a kayak waiver goes to Sam Ortiz. Choose the waiver, type the guest's name, add Sam with an email address, and send it. Then open it from the top of Documents.

While it is out, you can download what has happened so far. Sam says the email never arrived. Remind sends a fresh link, and the old one stops working, so a link that went astray is no use to anybody else. The reminder goes on the trail, and Remind is not offered again for an hour.

Then Sam cancels the booking. Void it, with a reason. Every link stops working, and the document is kept, marked void, with your reason. Only a document still waiting can be voided: a signed agreement is ended by agreement, not deleted.

A voided document can be redacted too. Say Sam asks you to delete their details. Give the reason and press Redact it. The text and the people are gone; the fingerprint, the times and the trail stay.

And it stays in Documents. Narrow the list to Voided, and Sam's waiver is still there, with its trail.
